PayDocker's Property Supplier Management system is a centralised dashbaord designed to help you track who you are buying from, how much you owe them, and the status of every transaction your property makes, allowing a streamlined operation management process.
You can choose to "drill down" into a specific supplier to see every invoice, order, and refund associated with each supplier.
How to access
- Login to your account via https://property.paydocker.com/login
- In the search bar located at the top of the page, select the Property
- In the left-hand menu, look for Purchases. Then click Suppliers
- You will then see a list of all active balances
Your suppliers will be managed by currency.
- Select the eye icon to view the suppliers under each currency
In this dashboard you will see:-
List of Suppliers: All suppliers that have an active setup with you.
- If you have just submitted a request for a Smart Contract setup, and the partner is still in "Submitted" or "New" status, they will not appear here until the connection is officially accepted.
- Total Spend: The total value of all business you've done with this supplier.

Payable Amount: The current balance you need to pay (combining things that are due now and things that are overdue)
- Outstanding and Overdue Objects only
- Total Overdue: Shows how much is past its payment deadline.
- If you deal with multiple currencies (like USD and EUR), you can Star your preferred currency so the dashboard always shows you the numbers that matter most to you first.

Frequently Asked Questions
Here are some frequently asked questions (FAQs) designed to help new users troubleshoot and navigate the Property Purchase & Supplier Management for the first time
Q: What is the difference between "Supplier ID" and "Your ID"?
A: "Supplier ID" is the unique identification number generated by our system. "Your ID" is a custom reference number that you (the user) can manually assign during the setup step to match your own internal accounting software. If you haven't set one up, it will simply show as NA.
Q: Why does my "Total Spend" look higher than what I actually paid?
A: By default, the system shows the Gross Volume. This is the total amount of the purchase before any transaction fees or internal service charges are deducted. To see what you paid after fees, click the Calculator icon and select Net Volume.
Q: How is the "Outstanding" amount calculated?
A: The system calculates this in one of two ways:
Payable minus Overdue: Taking your total debt and subtracting what is already past its due date.
Status Check: Summing up every transaction specifically marked with the "Outstanding" status.
Q: I know I have an invoice, but it’s not appearing in the table. Where is it?
A: Check two things:
Currency: The tables only show transactions for the currency currently selected in your header. If the invoice is in GBP but you are viewing USD, it won't show up.
Date Range: Ensure the date filter (top right) is set to include the date the invoice was issued. Switch to "All Time" to be sure.
Q: How do I see more than 10 transactions in the Objects or Bills table?
A: Each table shows the 10 most recent items by default. You may click the "See More" text at the bottom of the table to load 10 more.
Q: Why is a section of my page showing a "No Data" image?
A: This isn't an error! It simply means that for the selected date range and currency, there are no transactions of that type. For example, if you haven't received any refunds from a supplier yet, the "Refunds" table (Table E) will show the "No Data" placeholder.
